TL;DR: Remove vehicles from your commercial auto policy when sold, totaled, retired, or seasonal. Contact FHIA with vehicle details; carrier processes the deletion in 1-3 days with a prorated premium credit. Remove from insurance before canceling DMV plates to avoid penalties.

When to Remove a Vehicle from Your Policy

You should remove a vehicle from your commercial auto policy when it is no longer part of your business operations. Common reasons include:

  • Vehicle sold or traded in: Once the vehicle changes ownership, remove it immediately to stop paying premium
  • Vehicle totaled in an accident: After the claim is settled and the vehicle is no longer in your possession
  • Vehicle retired from service: If a truck or van is permanently parked and no longer driven for business
  • Seasonal vehicles: Some businesses remove vehicles during off-season months (snow plows in summer, for example)
  • Downsizing your fleet: Removing excess vehicles as business needs change

How the Removal Process Works

  1. Contact FHIA. Call or email your broker with the vehicle details (year, make, model, VIN) and the effective date you want the vehicle removed.
  2. We submit the change. FHIA sends a vehicle deletion endorsement request to your carrier.
  3. Carrier processes the endorsement. Typically takes 1-3 business days. The endorsement is backdated to your requested effective date.
  4. Premium credit issued. You receive a prorated premium credit for the unused portion of the policy term for that vehicle.
  5. Updated dec page and COI. You receive an updated declarations page showing the remaining vehicles and, if needed, updated certificates of insurance.

How It Affects Your Premium

Removing a vehicle generates a prorated premium credit. If you remove a vehicle 6 months into a 12-month policy, you receive approximately 50% of that vehicle's annual premium back. The exact credit depends on the carrier's short-rate vs. pro-rata cancellation terms.

If removing a vehicle drops you below the fleet minimum (usually 5 vehicles), your policy may need to be restructured as individual vehicle policies, which could increase per-vehicle costs.

Important Considerations

  • Do not cancel plates before removing from policy. If you cancel your DMV registration before removing the vehicle from insurance, you create a gap that can trigger DMV penalties in New York.
  • Keep proof of coverage. Save a copy of the endorsement showing the removal date. If a claim surfaces later for an incident that occurred before removal, you need proof the vehicle was covered at the time.
  • Coordinate with your GL policy. If the vehicle was listed on your general liability or umbrella policy, notify those carriers as well.
  • Seasonal removals vs. storage coverage. If you plan to park a vehicle temporarily, consider switching to storage-only coverage (comprehensive only, no liability) instead of fully removing it. This maintains continuous coverage history.

Frequently Asked Questions

How do I remove a vehicle from my commercial auto policy?
Contact your broker (FHIA) with the vehicle details (year, make, model, VIN) and the date you want the vehicle removed. We submit a vehicle deletion endorsement to your carrier, which is typically processed within 1-3 business days. You receive a prorated premium credit for the remaining policy term.
Will I get a refund when I remove a vehicle?
Yes. You receive a prorated premium credit for the unused portion of the policy term. If you remove a vehicle 6 months into a 12-month policy, you receive approximately 50% of that vehicle's annual premium back. The exact credit depends on whether your carrier uses pro-rata or short-rate calculation.
Should I cancel my plates before or after removing a vehicle from insurance?
Remove the vehicle from your insurance policy FIRST, then cancel the DMV registration. If you cancel plates before removing the vehicle from insurance, you can trigger DMV penalties in New York for having an unregistered insured vehicle. Coordinate the timing with your broker.
What happens if I remove a vehicle and drop below the fleet minimum?
Most fleet policies require a minimum of 5 vehicles. If removing a vehicle drops you below 5, your policy may need to be restructured into individual vehicle policies. Per-vehicle costs may increase since you lose the fleet discount. Discuss this with your broker before removing the vehicle.
